Vero Scale Pty Ltd ("we", "us", or "our") operates VS Notify ("the Service"). This Privacy Policy explains how we collect, use, and protect your information when you use our Service.

We are committed to protecting your privacy and comply with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs). For users in the European Union, we also comply with the General Data Protection Regulation (GDPR).

2. Privacy-First Design

VS Notify is designed with privacy at its core. We do NOT store:

  • Form submission content or data
  • Email message bodies
  • Personal data from your website visitors
  • IP addresses of form submitters

Form data passes through our servers only to be delivered via email - it is never persisted or logged.

3. Information We Collect

3.1 Account Information

When you sign up via Google, we receive and store:

  • Your email address
  • Your name (from your Google profile)
  • Profile picture URL

3.2 Endpoint Configuration

We store the settings you configure:

  • Endpoint names and recipient email addresses
  • Email templates (subject and body)
  • Allowed origins for form submissions

3.3 Usage Statistics

We track aggregate usage for billing and analytics. This includes only:

  • Number of emails sent per endpoint per day
  • Date of submission (no time or other metadata)

We do NOT track or store any content from form submissions.

3.4 Payment Information

Payment processing is handled by Stripe. We do not store credit card numbers. We retain:

  • Stripe customer ID
  • Subscription status and plan type
  • Billing period dates

4. How We Use Your Information

We use collected information to:

  • Provide and maintain the Service
  • Process and deliver form submissions via email
  • Manage your account and subscription
  • Send service-related communications
  • Improve and optimize the Service
  • Comply with legal obligations

5. Data Sharing

We do not sell your personal information. We may share data with:

  • Service Providers: Stripe (payments), Google (authentication), email delivery services
  • Legal Requirements: When required by law or to protect our rights
  • Business Transfers: In case of merger, acquisition, or asset sale

6. Data Security

We implement security measures including:

  • Encryption in transit (TLS/HTTPS)
  • Secure authentication via Google OAuth
  • Regular security audits
  • Access controls and monitoring

No system is 100% secure. We cannot guarantee absolute security but strive to protect your data using industry best practices.

7. Data Retention

  • Account data: Retained while your account is active, deleted upon request or 12 months after account closure
  • Usage statistics: Retained for 24 months for analytics
  • Form submission content: NOT retained - passes through and is immediately discarded

8. Your Rights

You have the right to:

  • Access: Request a copy of your personal data
  • Correction: Update inaccurate information
  • Deletion: Request deletion of your account and data
  • Portability: Receive your data in a portable format
  • Objection: Object to certain data processing
  • Withdraw Consent: Withdraw consent at any time

9. Cookies

We use minimal cookies for:

  • Authentication: To keep you logged in
  • Preferences: To remember your settings

We do not use tracking cookies or third-party analytics that collect personal information.

Your data may be processed in Australia, the United States, or other countries where our service providers operate. We ensure appropriate safeguards are in place for international transfers.

11. Children's Privacy

The Service is not intended for children under 16. We do not knowingly collect data from children. If you believe a child has provided us with personal information, contact us for removal.

12. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be notified via email or dashboard notification at least 30 days before taking effect.
